Managing Your Software Licence

How Software Licences work across mobile, driver admin, and operator admin. Includes trial licence, activation, payment, and cancellation.

To use the Logmate electronic logbook, you need an active Software Licence.

How Software Licences Work

A Software Licence can be provided in two ways:

Self-managed

You (the driver) purchase and manage it yourself

Logmate Admins → Account → Subs & Licences

Operator-managed

Your Transport Operator purchases and assigns a licence to you

Operator manages via their Operator Account

Note: Rideshare platforms (Uber, Bolt, DiDi) do not provide Logmate Software Licences. If you drive for a rideshare company, you will need a self-managed licence.

In the Logmate app

Tap Menu → Software Licence to view your licence status. The status shows as:

  • Green — active

  • Orange — pending or trial

  • Red — expired or suspended

The app does not manage billing. Use your Logmate Admins to activate, renew, or update payment details.

In Logmate Admins (Driver)

Go to Logmate AdminsAccount → Subs & Licences to:

  • View your billing history and invoices

  • Update your payment method

  • Activate or renew your licence

  • Cancel your licence

In the Operator Account

Transport Operators manage driver licences from their Operator Account:

  1. Click Account → Subs & Licences

  2. Click Manage Subscription Licences (Drivers)

  3. Assign or unassign licences to drivers

Purchasing licences: Operators must purchase subscription seats before assigning them. Click Purchase Subscription on the Subscriptions page to add seats.

Billing cycle: Removed licences stay active until the end of the current billing period. The driver can continue using Logmate until then.

Owner Operator accounts can assign a maximum of 1 driver licence (the owner themselves). Standard Operator accounts have no limit.

Your Trial Licence

When you create a self-managed Logmate account, you receive a 21-day trial licence.

  • Registered via the Logmate app: your trial starts immediately

  • Registered via Logmate Admins: you control when your trial begins

  • All logbook entries made during your trial are valid official records

  • You will receive reminder emails before your trial expires

Activating Your Licence (After Trial)

  1. Go to Logmate Admins and log in

  2. Click Account → Subs & Licences

  3. Click Activate Trial Software Licence (new accounts) or Renew Software Licence (expired accounts)

  4. Enter your card details and confirm

Updating Your Payment Method

  1. Go to Logmate Admins and log in

  2. Click Account → Subs & Licences

  3. Click Manage Subscription

  4. Click Payment Methods in the billing portal and update your card details

Cancelling Your Licence

There are no contracts and cancellation is straightforward.

  1. Go to Logmate Admins and log in

  2. Click Account → Subs & Licences

  3. Click Cancel Subscription on the licence you want to cancel

  4. A notification at the bottom of the screen confirms the scheduled cancellation date

  • Your licence stays active until the next billing date

  • No cancellation fee

  • No refunds for the remaining billing cycle

  • You retain access to Logmate Admins to view historic logbook records after cancellation

Syncing Your Licence to the App

After purchasing or renewing, sync your licence to the app:

  1. Open the Logmate app

  2. Tap the Software Licence Required banner (if visible) — this triggers a sync automatically

  3. If no banner is visible: tap Menu → Reload Profile
