How Are Drivers and Operators Related?

Drivers and operators are linked through a mutual agreement on the Logmate platform. This relationship determines who receives copies of a driver's work-time records.

Both parties must agree. A one-sided invite or nomination is not enough β€” the other party must accept.

Owner Operators cannot send invites. Drivers must nominate them.

Relationship lifecycle

Every invite or nomination follows this lifecycle:

Meaning

Pending

Waiting for the other party to respond. Valid for 7 days.

Approved

Both parties agreed. Locked Work Shifts are supplied to the operator.

Declined

The other party rejected the request.

Expired

No response within 7 days.

Auto-approval

If a driver nominates an operator who has already sent them an invite (or vice versa), the relationship is auto-approved. Both parties have already agreed.

Stand-down period

  • Drivers: After a nomination is declined, the driver must wait 7 days before nominating the same operator again. No stand-down for expired nominations.

  • Operators: No stand-down period. Operators can resend invites at any time.

Events

Each relationship records a history of events. Events show every action taken β€” invited, nominated, approved, declined, expired, resent.

Events are useful for:

  • Tracking when a relationship was established

  • Understanding why a relationship failed (declined vs expired)

  • Confirming that an invite was resent

Drivers can view events by double-tapping a TSL Holder card in the Mobile App. Operators can view events in the Invite tool on the Drivers page.

What happens when approved?

When a relationship is approved:

  • The driver's locked Work Shifts are supplied to the operator

  • The operator can view the driver's shift records and violations

  • The driver appears in the operator's Drivers list

Records are only shared at the time of locking. If the relationship is not yet approved when a shift is locked, that operator does not receive the records.

What happens when removed?

Either party can end the relationship at any time. When removed:

  • No further work-time records are supplied

  • Previously shared records remain accessible to the operator

  • The driver can re-nominate or the operator can re-invite
