How to read and interpret an exported Logmate logbook.

Time format

All times are in Pacific/Auckland timezone (NZST or NZDT). Times use 24-hour format. Dates use dd MMM YYYY format (e.g. 15 Mar 2026).

Shift record structure

Each exported shift includes:

  • Reference number — unique shift identifier

  • Lock status — whether the shift is locked (permanent) or still open

  • Shift summary — date, start time, end time, shift work duration, period work duration

  • Work logs — list of all entries in the shift

  • Modifications — changes made to auto-generated values (if any)

Entry types

Each work log entry has a type:

Type

Meaning

Drive

The driver was driving a vehicle. Includes vehicle registration and odometer readings.

Other Duty

Non-driving work such as loading, paperwork, or vehicle maintenance.

Break

A rest break. Only breaks of 30 minutes or more count as valid rest.

End Shift

Marks the end of the Work Shift.

Shift states

State

Meaning

On Duty

Shift is active. The driver is currently working or on break.

Ended

Shift is finished but not yet locked. Entries can still be edited.

Locked

Permanent record. No changes allowed.

Locked shifts show a lock icon and date. Only locked shifts are supplied to TSL Holders.

Violations

A violation is recorded when the driver exceeds a work-time limit:

What it means

Off Duty Violation

Started a shift with less than 10 hours rest (or less than 24 hours for a new Work Period)

Continuous Work Violation

Exceeded 5.5 hours (or 7 hours for SPSV/TAXI) without a 30-minute break

Total Work Time Violation

Exceeded 13 hours of work-time in a shift

On Duty Violation

Exceeded 14 hours on duty in a shift

Work Period Violation

Exceeded 70 hours of work-time in a Work Period

Violations are permanent and cannot be removed.

Break validity

A break must be 30 minutes or more to count as valid rest and reset the continuous work timer. Breaks shorter than 30 minutes count as work-time.

Modifications

When a driver changes an auto-generated value (such as the start time or location of an entry), the change is recorded as a modification. The modifications section shows:

  • The entry that was changed

  • The original auto-generated value (FROM)

  • The new value entered by the driver (TO)
